Are you a victim of ‘I have no time’ attitude? If not it is very good. It shows that you know how to manage your time in your business and personal life.
A good time manager makes timely decisions and takes timely actions. That keeps his business ahead of competition. Time management helps you to lead a stress free life, enjoy what you do in your business as well as in life and have more time for your family and leisure.
Time management needs self discipline. It involves self motivation, pre planning and organizing the way you work. Time Management develops you toe conscious, skilled to identify and accept opportunities. It gives you the ability to maximize productivity of your work with optimum efficiency.
Why manage time? There is a theory that says that the Work expands to fill the time available for a task. That implies that if we do not manage time the jobs will expand to fill the time allotted. Then, less work in more time will result.
Since time is scarce we have to save it. We have to plan each activity to optimize the use of time. If we allow more time for a task than necessary, then the time will be wasted as time passed cannot be pulled back. Since time gone is time lost we have to manage the available time to do more.
There are barriers to time management. Some of these barriers are listed below;
a) Bad working habits,
b) Inadequacy of skills of handling tasks,
c) Fear and negative attitude,
d) Habit of postponing of doing things,
e) Poor and disorganized working environment,
f) Lack of prioritizing,
g) Absence of pre-planning and prior arrangements to perform tasks.
h) Habitually thinking that work is difficult or unpleasant,
An important step in time management will be Goal Setting. Time Managers are goal driven. They set goals and focus on reaching those goals by planning meticulously each task in a way to optimize time and performance. If you want to manage your time effectively then you too will have to be goal focused and goal driven. You have to focus on achieving your goals that enable you to manage your time effectively. You can identify your goals separately as personal goals, business goals, professional goals etc.
First thing first and for time managers their first daily task, on rising early in the morning, is to think of planning the days work. They plan with a fresh mind the activities to be performed by identifying goals for the day. Then they schedule each task on priority basis. Planning they do carefully by putting on paper for each activity the time needed, the actions required, how to perform or whom to delegate, deadlines for completing etc.
It will certainly help to identify the steps needed to achieve each task by breaking down activities in to smaller components in a manageable sequence. You can plan your day in this manner and have full control of your time.
The next step is to plan and find ways to avoid interruptions like telephone calls, unannounced visitor, noise disturbances and activities irrelevant to the task that deviate attention. By making arrangements for avoiding disturbances will enable the performing of the set goals as scheduled with least interruptions.
The final routine for the day is to do a time- review. This is done by systematically analyzing of the tasks completed as per the plans, their rate of success and failure, what went wrong and what preventive actions needed, what should be priority for the next day to make next day productive and useful.
The time management enables us to focus on what is important, to meet set deadlines and to perform important activities as priority. The time managers identify clearly the different nature of each activity that can be categorized as follows;
a) Urgent and important,
b) Not urgent but important,
c) Urgent but not important,
d) Not urgent and not important.
The categorization of tasks as above assists us to prioritize work, avoid stress, avoid anxiety, and focus on achieving results.

The Month of January was named by the Romans after Janus. Janus is the guardian God of beginning and had two heads. Of the two one was facing back and other facing front. So, Janus could look back and look forward at same time.
We are in January now. It is the appropriate time for us too, like Janus, to look back and look forward. However, we will not be physically able to look back and look foreword at the same time, since we do not have two heads like Janus. But with the single head that we are blessed with, we can look back before we look foreword. In the time in-between we can pick up things from our past.
Looking back at the beginning of a New Year allows us to reflect upon our past year and learn from it. There are a lot to learn from the past. The past is storage of experiences, useful lessons, mistakes and failures. So, looking back provide us an opportunity to analyze what we did, how we did and the outcome. It is useful for us to look back at the past and fathom our future based on lessons from the past. Napoleon Hill in his book Success Through a Positive Mental Attitude stated that your future is ahead of you. You must prepare yourself to be ready by making yourself ready for the opportunities available to you.
With an analysis of the earlier period, we can find out the causes and corrective measures necessary to aim perfection in future actions. That will prepare us to face up to the challenges of the future. With this knowledge on our past we can look forward with confidence. That confidence will lead us to success in our plans for the future.
In other words by looking back we can certainly make use of our good past successes to rekindle our spirits. On the other hand, we can use our past failures as the pillars on which to build future success. In this way, our forward movement will have a positive approach that will be fortified with right knowledge and experience. It will be the approach that will help us, in carving out a rightful place for us in the future to live the life we always dreamt about living.
Being beginning of the New Year we can make a firm commitment as a New Year Resolution. Like Janus, we too have looked back and looked forward and meanwhile picked the bricks of experience to build new solid foundation for future achievements. So our timing is right and planning will be sound. It is opportune for us to begin the year by taking control of life and guide it forward towards our own visions of future prosperity.
That is where the road to achievement begins. It will be a real change for an exiting life of plenty of wealth, health and happiness. It cannot be denied that money is a decisive factor in being able to get what we want when we want. Reaching a state of Financial Freedom that can free us from hindrances of financial burdens is possible. So, why not get ready to succeed. Never again think of obstacles, hindrances etc., but think of them as generators of strength for you. They will help you to sharpen your knowledge and the skills that you need to succeed.
Our forward stretch towards success will have to ensure for us a recession proof Income. It has to be an income of a proportion that will be adequate to satisfy all our needs. In a crowded place a smart looking person, seated close to you, may ask you in a very polite manner “Do you mind if I smoke?” A seemingly innocent request to which your response will be to nod agreeably as if to say okay. We do not realize that such a mannerly question spells evil? Would you have nodded and said ‘okay’ if he had asked you the same question this way… “Do you mind if I poison you?” If he had asked you “May I have your permission to give you Cancer?” then your spot reaction would have been a strong objection.
After your okay to his initial polite question, the stranger will make his nest move. He will securely pull out a cigarette from his pocket. You won’t believe me if I state that it is an act very similar to pulling out a small gun, because a cigarette too, like a gun, can kill. But unlike a gun, a cigarette kills without drawing blood.
A gun releases one deadly bullet at one target at a time, but a cigarette releases a stream of deadly bullets, tiny in size, targeting every one at close range. These tiny bullets are smoke-particles that are harmful to both the smoker and the ones inhaling the smoke unintentionally as well, the second-hand smokers that include children as well.
The smoke coming out of a cigarette is so deadly that each cigarette can reduce the smoker’s life-span by around seven to eleven minutes. Also, it has been estimated that nine out of ten people who require heart-by-pass operations are smokers or ex-smokers. Therefore, smoking is the most preventable cause of death in Society.
We all have a vision in life as to where we want to end up. It is what we devotedly do with regular focus that takes us towards our vision. Similarly, the vision of a smoker is identified as ‘the Coffin’ and by his regular actions soon he will end up in it.
It is said that on average a smoker dies eight years earlier than a non smoker. Further more, eighty five percent of the causes of Lung Cancer is related to smoking. And it is a fact that a smoker is twelve times more likely to develop Lung Cancer.
The risks faced by the regular smokers are as follows;
1) Blood clots, which may lead to strokes etc,
2) Cancer,
3) Coronary artery disease, heart attacks,
4) Decreased ability to taste and smell,
5) Delay in wound healing,
6) High blood pressure,
7) Lung problems such as chronic bronchitis,
Pregnancy-related problems, including miscarriage, premature labor, low birth weight, risk of sudden infant death,
9) Tooth and gum diseases etc.
And those who are regularly around the smoke of others (secondhand smokers) have a higher risk of;
1) Coronary artery disease,
2) Lung Cancer,
3) Sudden and severe reactions involving the eye, nose, throat, and lower respiratory tract.
Meanwhile, the Infants and children that are exposed regularly to secondhand smoke are at risk of;
1) Asthma,
2) Infections,
3) Pneumonia,
4) Poor lung function,
5) Sudden infant death syndrome (SIDS) etc.
It is sad that in spite of imminent danger the smokers continue to enjoy smoking. And the tobacco industry too is thriving and playing a supportive role to the economy as a provider of more and more jobs. The smokers too generate jobs and income for doctors, grave- diggers etc.
If you are a smoker this is the time to make a New Year Resolution to stop this evil habit. Think of your children, family and loved ones and their future with you as the provider and guardian of the family. It is your obligation to your loved ones to live a long healthily life.
When you become your own boss and your home becomes your own office certain adjustments become essential. The first priority is to arrange a place to work, an office location.
Even though it is home sweet home, you have to plan the best way to organize your work area. The place to work, however small it may be in size, need to be set up properly. Think of the items you will need in addition to your computer. There will be files, books, magazines, CDs, furniture etc., to keep properly to optimize access. Your working environment should be free of stress and clutter.
The initial focus need to be on keeping the place organized. Organizing a work from home office or even a formal work place like a huge office or a factory will involve the same principals. To do this there is a time tested and successful methodology known as 5S. The 5S methodology originated in Japan helps to systematically organize any work place small or big.
The 5S principals can be applied even to organize a small area of activity like your own hand-bag. The 5S ensures a place for every thing and every thing In Its place. Where ever applied, the 5S methods improve efficiency and productivity. In Japan 5S can be seen usefully applied in offices, kitchens, rooms, roads, gardens homes, stores and big plants as well.
5S helps to reduce space needed and maximize speed of retrieval of items. This amazing system is called 5S because it uses five Japanese words all starting with S sound.
The five step 5S methodology in brief is as follows;
1, Seiri -Sort – To keep what is necessary and discard what is not necessary.
2, Seiton -Specify location – Keep what is in need arranged in order so that can be picked up easily when you need them.
3, Seiso -Clean/clear – Clean the work place regularly to be free of rubbish, be neat and tidy.
4, Seuketsu -Cleanliness- To regulate with schedules and ways to ensure workplace cleanliness.
5, Shitsuke – Self discipline (Motivation) - To train and discipline all involved on following and maintaining 5S.
Start with the first 5S principle – Seiri by sorting and identifying what is not necessary, what is needed regularly, what is not needed immediately etc. There may be items that should not be there at all like a broken chair or an item not of any use to be there. So you can start to sort with the participation of your home people too as team work always helps. You will find items that will never be needed. Such items can easily be discarded.
The next 5S principle namely Seiton is to identify, sort, and label or tag the items found Necessary to enable to identify easily and indexing will help. Visual identification methods such as using color codes, colors, location indicators etc., which will help to locate and pick up any item from where it is kept speedily. You can be innovative here.
The third S of 5S, Seiso ensures clean and tidy place to work by cleaning, sweeping and dusting etc.
The fourth step namely Seuketsu involves standardizing with set routines, schedules etc, to maintain continually the workplace clean and as arranged.
The fifth Step that is Shitsuke ensures that the system is clearly understood and practices with training and self discipline by every one involved. This training will help you to think analytically, always identify whatever is needed for your progress and discard what are time and energy wasters in life too. Benefits of 5S orientation being improved efficiency and productivity it will boost up your overall business performance too.
The 5S will make the work place, your home business office, or your home if applied a beautiful environment pleasing to the eye so that you will feel home is where the heart is and can work with comfort, ease, speed and mental peace.
